Newly published results from a survey of FM professionals by FMJ and commercial equipment specialist JLA has shed light on the key trends, opportunities and challenges emerging across multiple sectors.

Covering everything from hybrid working and sustainability to AI-powered technology and compliance, the results show that digital transformation, environmental targets and the return-to-office drive remain big priorities for FMs all over the country.

The workplace and employee experience

Collaborative office spaces are more important than ever

The shift to hybrid working has had a big impact on how organisations use and design their workspaces. 81.59% of our survey respondents told us that prioritising collaborative office spaces is important, with 44.17% rating it as extremely important.

Increasingly, air filtration is viewed as critical to a healthy workplace

A healthy workplace environment is a growing priority for employees, with air quality a key factor. 53.37% of respondents rated air quality as extremely important, and 33.74% said it was important, reflecting a growing awareness of the role clean air plays in supporting employee health and productivity.

The workplace and employee experience

Almost everyone is focusing on Net Zero goals

Sustainability continues to rank among the top issues for FMs, with 88.89% of our survey respondents telling us that sustainability is a major focus for their organisation – and 50.33% considering it a high priority.

Water conservation is rising up the agenda

Water conservation is clearly gaining importance in our evolving sustainability strategies. 41.83% of respondents said it was an important part of their FM operations, while 21.57% rated it as extremely important.

More FMs are feeling stricter environmental regulations

70% of respondents expect to manage a significant or moderate impact from tighter sustainability regulations like LEED and BREEAM. But just over a quarter of respondents – 26.14% – believe the changes will only have a minimal impact.

Procurement practices are changing

Asked about their approach to procurement and the circular economy in their supply chain, 54.9% of our respondents said they consider sustainability, while 33.3% see it as a priority. Only 1.31% of respondents said they had no focus on sustainability at all.

Technology, data and digital transformation

More FMs are using their equipment to monitor energy and water use

Technology is playing a growing role in resource management, with 41.61% of respondents rating the ability to use digital tools to monitor energy and water usage as extremely important, and another 34.23% rating it as important.

Data is driving operational efficiency

More than half of respondents (57.7%) expect to see a significant increase in their reliance on data analytics to identify trends and improve operational efficiency. A further 28.8% expect a moderate increase, underlining the growing role of data in day-to-day decision-making.

AI-powered solutions are being adopted

AI adoption is still relatively slow, but interest is growing. 52.35% of respondents said they’re very likely or likely to adopt AI systems to improve building efficiency and automate workflows. 36.91% are uncertain, suggesting many organisations are still weighing the benefits.

Cloud-based solutions are driving remote management uptake

Cloud-based technologies are increasingly viewed as essential to future FM operations. 46.98% of respondents see remote management and real-time equipment monitoring tools as essential, while 45.64% see them as beneficial.

Compliance and regulations

There’s rising concern over fire safety and HVAC compliance

With fire and HVAC regulations tightening, 20.57% of respondents told us they were very concerned about compliance, with another 60.91% moderately or slightly concerned. However, 15.60% were not concerned at all, suggesting a degree of confidence among some organisations.

Compliance reporting requirements are challenging

Staying on top of compliance reporting is proving almost universally tricky. 55.32% of respondents expect moderate challenges, 21.99% anticipate minor challenges, and 19.15% said they expect significant challenges as they work to meet shifting requirements.

FMs are keeping updated on building codes and standards

Most respondents told us they were actively monitoring changes in building codes and standards. 46.81% rely on proactive monitoring, while 35.46% use periodic reviews. However, around 10% of respondents reported minimal or no specific monitoring practices.

Over the last few years, we’ve achieved a huge reduction in carbon emissions by electrifying our vehicle fleet – and taken another step closer to our company goal to reach Net Zero by 2040.

With transportation so important to JLA’s business model, our vehicles – including HGVs, vans and company cars – have always made up the majority of our Scope 1 and 2 emissions. 

It’s why, in 2021, we set out to transfer the entirety of our company car fleet from internal combustion engine (ICE) vehicles to electric alternatives (EVs), while also targeting an 80% electric/hybrid van fleet by 2030.

The road to JLA's EV transition

To get there, we’ve taken a phased approach, replacing ICE vehicles with EVs at the point of lease renewal, and making sure employees are only offered electric options. These include premium EV models from Tesla and Polestar, boasting longer ranges and strong performance, which have helped to overcome staff concerns about range and driving experience.

We also launched an internal education campaign that’s focused on personal tax advantages (including lower Benefit in Kind contributions) and key environmental benefits, including carbon savings, as well as practical guidance on EV use and charging.

Our journey to EV success

To make things easier for our people making the switch, we’ve also funded the installation of EV chargers for all staff opting into the scheme, and upgraded all our major sites with on-site EV charging points.

The project has been a huge success, with our latest figures showing that:

  • 99% of our company cars are now fully electric, with the remaining 1% hybrid-electric
  • Our Scope 1 emissions have been reduced by 11%, from 4,071 tCO2e in 2022 to 3,550 tCO2e
  • Over 140 JLA employees have had home chargers installed
  • We’re well on track to electrify 80% of our engineer van fleet by 2030
  • Our people satisfied with vehicle quality, their lower personal tax burden, and ease of use

Collaborating with Novuna

We worked closely with Novuna Vehicle Solutions to drive the change throughout each stage of the process.

Together, we created a robust EV policy and digital tools to support driver confidence, including a familiarisation course completed before delivery, and our EV Hub, which helps drivers understand critical information when selecting an electric vehicle and managing in-life charging, both at home and on the road.

Other key initiatives

Alongside our company car initiative, we’ve also adopted a ‘fast, lean and smart’ (FLS) approach to scheduling for our 450 engineers. Using real-time planning tools, we’ve been able to reduce the average mileage per customer visit from 27 to 21 miles. With around 200,000 visits each year, this has helped to cut emissions by an extra 400 tCO2e.

Commercial boilers are a necessity in private accommodation and apartment buildings to keep tenants warm and hot water flowing.

But when should you consider replacing your boilers, what are the different factors to look into when purchasing new equipment and how do you address the challenge of minimising capital expenditure?

Tenant satisfaction

Tenant satisfaction is an important topic in social housing settings due to Awaab’s Law and the Decent Homes Standard. However, it is also becoming an issue of growing importance for private landlords.

Unreliable, defective or inefficient boilers can significantly affect tenant satisfaction and cause an increase in complaints from residents.

Saving energy

With energy prices still stubbornly high, modern boilers, particularly condensing boilers, are much more efficient than older non-condensing models. Even replacing an older generation gas boiler with a modern gas boiler can produce significant savings due to technological improvements.

Here at JLA, we have been advising private landlords on how to reduce their carbon footprint and conserve energy. One of the first things we recommend reviewing is heating systems, boilers and other commercial HVAC equipment in order to achieve a ‘quick win’.

Reliability and engineering support

Boiler reliability is essential and a major source of frustration for tenants. A lack of heating and hot water causes major disruption, especially in winter, means an urgent fix is required.

Newer, more reliable equipment can save the hassle and expense of repairing existing heating systems, especially as problems arise over time.

End-of-life equipment

A paradox often found in the industry is that well-maintained boilers usually have a long lifespan. However, this could be detrimental given the additional operating and repair costs associated with older equipment.

It can often be a struggle to source replacement parts for older boilers, or they can become too expensive, therefore this is a factor that must be considered when deciding if it is the right time to upgrade your boiler.

As boilers approach the end of their useful life, a new installation is recommended before problems arise.

Tips on what to look for when purchasing new commercial boilers

When you are sourcing new boilers, there are lots of different factors to take on board. We always suggest contacting a HVAC expert to advise you on the best solution, but a few examples are outlined below.

Capacity and sizing

The boiler must be appropriately sized to meet the heating and hot water demands of all apartments, especially during peak times. It is important to consider the sizes of different flats and communal areas, so that correctly sized boilers are sourced. Boilers that are too small may not provide sufficient power or become overworked, whilst ones that are too large would be expensive to run.

Fuel type

Efficient gas boilers are still the most common on the market, due to the balance between cost and availability.

Other options include hybrid heating systems, which combine the power of a gas boiler with the efficiency of an air-source heat pump. Thanks to a combined condensing gas boiler and air-to-water heat pump, a hybrid heating system can still meet peak demand, but use much less energy overall.

Engineering and after-sales support

Selecting a supplier who provides engineering support, service contracts and the ability to respond quickly in the event of a breakdown is a very important consideration. Many of our housing customers understand the importance of new boilers in their properties, but cost and capital expenditure concerns can often delay a much-needed boiler installation that would provide cost savings.

A fire risk assessment (or FRA) is a legal requirement and the foundation of your fire safety strategy. Carrying out an FRA means performing an audit of your setup to help you identify fire hazards, inadequate equipment, structural risks or outdated procedures, then create an effective (and fully documented) fire safety plan to tackle them. But who is responsible for doing this work? And how can you make sure you’re staying compliant?

Why is a fire risk assessment important?

A fire risk assessment is often the first step in finding and responding to fire hazards, making emergency plans, and doing what’s necessary to protect the people working, visiting or even living on your premises.

To make sure you stay compliant with fire safety laws, this FRA should be reviewed at least every year, or even sooner if you’ve made any changes to your building or to the people who are on site each day. You must keep a written record of your FRA.

Who does a fire risk assessment?

The person who looks after fire risk assessments in your organisation is referred to by law as the Responsible Person. It’s their job to carry out and regularly review the fire safety risk assessment of your premises, and ultimately identify what you should do to stop a fire breaking out and keep people safe.

This Responsible Person could be:
• An employer, if the premises is a workplace
• The managing agent or owner for shared parts of premises, or shared fire safety equipment (e.g., fire-warning systems or sprinklers)
• The occupier, which might be a self-employed person or voluntary organisation with control over part or all of the premises
• Any other person with some control over part of the premises

What areas of your premises should a fire-risk assessment cover?

According to UK Government guidelines, the Responsible Person or professional third-party should assess the following areas during their fire risk assessment.

  • Emergency routes and exits
  • Fire detection and warning systems
  • Firefighting equipment condition
  • Removal (or safe storage) of dangerous substances
  • Emergency fire evacuation plan

Consulting and covering the needs of your people

A fire risk assessment must also make sure you’re putting in place precautions that will protect your people. Part of this process is consulting with and giving relevant information and training to stakeholders, including:

  • Vulnerable people, including older people, young children or people with disabilities
  • Employees and other people on your premises

As standard, fire safety training should also be provided for your staff.

The UK Government has published guides on carrying out fire risk assessments, with specific information for premises in different sectors including offices, educational institutions, care homes, animal premises/stables, shops and healthcare settings.

When should you bring in the experts?

While it’s more than possible for a Responsible Person to carry out their own FRA, this may not be an option if someone doesn’t have the expertise, time or confidence to do so. In these situations, it’s always better to appoint a third party ‘Competent Person’ to help.

Whether you’re investing in new commercial laundry equipment or maximising the service life of your older machines, you’ll already know that preventative maintenance is an essential part of your laundry equipment care plan.

But when you have lots of priorities to juggle, it’s all too easy to let servicing lapse – or forget to plan for it at all.

In this post, we explore the many benefits of preventative laundry equipment maintenance – and why it often pays off to hand over the admin (and actual work) to a trusted commercial equipment specialist.

Planned preventative maintenance

Maintenance reduces the chances of downtime and disruption

Carrying out regular checks and scheduled maintenance is the best way to identify and quickly fix minor issues before they turn into major problems that put you out of action. Through routine maintenance, you’re far more likely to keep your equipment in good working order, and reduce the chance of costly interruptions or service disruptions.

Regular preventative maintenance optimises your machinery’s performance and efficiency, in turn speeding up cycle times and helping you save on electric, gas and water costs, while keeping wash quality consistent.

Issues like clogged lint filters and ducts in dryers, or malfunctioning water inlet valves in washers, will mean your machines have to work harder to maintain the same output, using more resources and costing you more in energy. Repeat washing or drying cycles will also eat into your staff’s valuable time.

Protect your compliance and safety record

As part of an engineer’s planned service visit, your machines will be inspected and fully certified to ensure compliance and give you peace of mind. As part of this process, any portable electrical appliances attached to your equipment will be tested (PAT) and signed off for continued use.
